Description

Governors State University is seeking to hire an Administrative Aide to be responsible for supervising and administering clerical and administrative functions for the Division of Science, Mathematics, and Technology (DSMT) as determined by the Division Chair and/or the Dean of the College of Arts and Sciences. Under supervision of the Division Chair and the Administrative Assistant, performs various assigned duties for the Division, as required to assist in the day-to-day operations of various programs/units within the DSMT.
Essential Responsibilities

35% In conjunction with the Division Chair and the division academic program coordinators establishes term-by-term and yearlong schedules for the DSMT. Inputs initial AN schedule in Colleague, updates corrections and additions by semester timelines, suggest changes to schedule (i.e. low enrollment classes, requiring cancelation, or reduction of CUEs to tutorial in low enrollment classes, increases capacity of high demand classes, class times, room assignments etc.).

Inform Administrative Assistant of any course changes as they affect faculty workloads. Guide and assist students filling out forms for graduate research projects, independent study, graduate capstone forms, process and procedures. Create sections for specialized/permission only course(s), authorize students so they can register, inform student via e-mail information to register. Examples: course, course number, section number, term (thesis projects, independent study, internships etc.). Attend meetings with the Curriculum and Faculty Information Team.

25% Coordinates all general business (i.e.) student complaints, inquiries, registrations, graduation applications, graduate assistant applications and tuition waiver applications. The Division Chair gets involved when issues require his/her attention. Maintains an efficiently run operation in the absence of the Division Chair and Administrative Assistant. Provides specialized administrative and academic support to the DSMT Faculty and Division Chair. Submit requests for swipe cards, keys and other building services and concerns to FDM. Receives and screens visitors and telephone calls in a chemistry office area. Ensure that files and records are maintained in accordance with legal requirements and university policies and procedures.

15% Keep the Division Chair abreast of all DSMT program developments. Track and monitor the status of course development, program assessment, and cyclical program review. Liaison with MarComm, Print Shop, and CAS Dean's Office to coordinate development of informational/promotional materials in the division.

15% Assist the Division Chair with engagement activities in the division. Facilitate event planning to enhance student retention, outreach, external connections, and overall growth of the division.

10% Support Administrative Assistant as needed and other duties as assigned.

Hourly Rate: $17.98.
(This is a non-unionized position. Salary starts at the base and is determined based on Education and Experience exceeding the minimum qualifications).

A. College coursework in science, education or a related field: 60 semester hours or an Associate's degree equals one (1) year (12 months) 90 semester hours equals two (2) years (24 months) 120 semester hours or a Bachelor's degree equals three (3) years (36 months) Master's degree or higher equals four (4) years (48 months) B. Progressively more responsible general or specialized office experience which included aspects of supervising staff or a job function, organizing, and performing duties that lead to knowledge of generally accepted office principles.
