Job Summary:
We are seeking a reliable and organized
Administrative Assistant
to join our team at CIC Construction Group. The ideal candidate will be responsible for providing essential administrative support to ensure efficient operation of the office. You will directly assist the Vice President of Operations and the Operations Directors as well as other Head of Departments with a variety of tasks related to organization and communication, ensuring the smooth functioning of daily administrative operations.
Key Responsibilities:
Scheduling & Calendar Management
: Schedule meetings, appointments, and travel arrangements for management and staff. Maintain office calendars and organize meeting logistics.
Document Preparation
: Draft, format, and distribute communications including reports, presentations, and spreadsheets. Ensure all documentation is accurate and timely.
Data Entry
: Accurately input data into company databases, ensuring information is current and correct. Assist in maintaining filing systems, both physical and electronic.
Supply Management
: Monitor and order office supplies as needed, maintain office equipment, and coordinate maintenance or repairs with vendors.
Meeting Coordination
: Prepare agendas, take minutes during meetings, and ensure follow-up on action items. Assist with organizing company events and employee engagement activities.
Support to Teams
: Assist various departments with administrative tasks such as research, processing paperwork, creating reports, and maintaining records.
Customer Service
: Assist with responding to client inquiries, provide general information, and escalate issues to the appropriate department as needed.
Administrative Support
: Answer and direct phone calls, manage incoming and outgoing correspondence (emails, mail, packages), and serve as the first point of contact for visitors.
Qualifications:
Education
: High school diploma or equivalent required and associate's degree in business administration or a related field.
Experience
: Minimum of 2 years of experience as an administrative assistant, office assistant, or in another relevant role, preferably within the construction Industry.
Skills
:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
Strong organizational and multitasking abilities
Excellent verbal and written communication skills
Attention to detail and problem-solving skills
Ability to work independently and as part of a team
Knowledge of office management systems and procedure
Other Requirements
:
Familiarity with basic office equipment (e.g., printers, scanners, etc.)
Availability to work Monday thru Friday from 8am-5pm
