Position Summary:
The Administrative Assistant provides administrative and clerical support for the VP EAP & Community Outreach, including but not limited to: handling calls, maintaining tracking logs and calendars, scheduling meetings and travel, preparing correspondence and expense reports, among others.
Essential Functions:
Provides outstanding customer service and responds promptly to inquiries from internal and external staff, as well as clients and third parties.
Responds and redirects inquiries in the absence of the VP Sales & Marketing.
Maintains information logs and tracks customer data as required.
Schedules internal and external meetings, travel and all related tasks.
Elaborates and edits correspondence, reports, proposals, and presentations.
Compiles data by conducting research through multiple information systems.
Creates, modifies and disseminates policies and procedures.
Prepares and manages organizational charts and maps.
Supervises and controls business files and records.
Provides coverage for other executive assistants and corporate receptionists when needed.
Complies with all guidelines established by the Centers for Medicare and Medicaid (CMS) and guidelines set forth by other regulatory agencies, where applicable.
In addition, all other duties assigned by the manager and/or supervisor.
Education:
Associate Degree in Secretarial Science, Business Administration or equivalent experiences, preferred.
Experience:
Minimum 2 years of experience in administrative assistant position or similar.
Knowledge:
Personal computer experience should include working with Microsoft Word, Excel, Power Point and Outlook at the intermediate level at a minimum.
