Administrative Assistant to the Executive Assistant

In this role you will: Greet guests and set them up for in-person meetings. Send meeting reminders and confirmations to CEO & President Book and confirm restaurant reservations. Manage site visit mapping. Run errands as needed. Order meals for NYC and when Executive Assistants are unavailable. Prepare lunch for weekly large meetings. Assemble interview packets and set up Zoom meetings. Follow up on meeting reminders and manage scheduling. Assist all Chiefs with administrative tasks (e.g., printing, scanning, faxing). Support board meetings for NYCBS and NYH, including booking dates and venues. Send out invitations and follow up with attendees. Responsibilities include coordinating political fundraising events: Oversee all aspects of political fundraiser planning and execution, including venue selection, guest list management, liaising with stakeholders, and ensuring compliance with relevant fundraising laws and regulations. Update and maintain Excel spreadsheets and other documents. Schedule meetings and calls, manage calendars, and arrange travel. Update Google documents and create reports. Ensure timely preparation and distribution of materials for board meetings. Maintain files, records, and corporate minutes. Communicate with medical offices, hospitals, and providers as needed. Provide backup support for the CEO and President when the Executive Assistant is out. We require: Bachelor's Degree required. 1-2 years of experience in an administrative support role preferred. Strong organizational skills with the ability to manage calendars and records. Proven ability to maintain confidentiality and discretion. Experience in organizing meetings, budgets, travel, and office support. High performance in a fast-paced environment. Strong interpersonal skills with the ability to build relationships with stakeholders. Resourceful, proactive, and effective both as a team player and independently. Expert written and verbal communication skills, including grammar, spelling, and proofreading. Ensure reliable transportation for off-site tasks within the local area Proficiency in Google Suites Preferred (Word, Excel, PowerPoint, Outlook). Salary up to $30/hr based on experience & education Mon-Fri: 8:30am-5:00pm (Flexibility with communication availability, after hours around scheduled events)
