, with Productores de Café de Puerto Rico (PROCAFE), the University of Puerto Rico Experimental Agriculture Station-Mayaguez, SustainCERT, and La Liga de Cooperativas de Puerto Rico to provide technical and financial assistance to 1,500 historically underserved Puerto Rican coffee farmers as well as incentivize them to implement climate-smart agriculture and forestry (CSAF) practices 10,000 acres of farmland that lead to improved specialty coffee production and open or expand access to new higher-value markets including voluntary carbon markets.
NCBA CLUSA is currently seeking qualified candidates for the position of Administrative and Data Entry Assistant. This position will be hybrid with biweekly in-person check-ins in San Juan or other agreed upon locations. The Administrative and Data Entry Assistant will play a key role in supporting the technical team in assessing and improving program performance, while assisting the Project Director.
The Administrative and Data Entry Assistant will assist in data collection, analysis, and reporting processes, support the development of M&E strategies and tools, and collaborate with the team to assess and improve program performance. They will also help manage data and maintain database systems.
The
Café del Futuro Administrative and Data Entry Assistant
is an employee of NCBA CLUSA based in Puerto Rico and reports to the Project Director.
ESSENTIAL AREAS OF RESPONSIBILITY:
Administrative:
Provides day-to-day operational project support including coordinating communications with field teams and maintaining records of communications; coordinating logistics support and arrangements for travel; prepares and routes invoices, expense reports, and other payments from consultants, subcontractors, vendors, etc. for approval; submits to Project Accountants for processing.
Assists drafting and reviewing announcements for procurements including Requests for Proposals, price quotations, and consultancies as well as supplier and service provider contractual agreements.
Researches and maintains relationships with vendors for event support services. Coordinates budget planning and ensures events stay within cost projections.
Supports the team by providing input into the grant's manual, operations manual, other forms and templates for project operations and/or annual planning where necessary.
Assists with drafting content for periodic project success stories and social media content.
Maintain inventory management in the field office; submits to Project Accountants for processing.
Data Entry & Management:
Contributes to the preparation of quarterly and annual reports by assisting with data compilation, analysis, and presentation.
Enter project data into the designated systems.
Maintain updated records of project partner monthly and quarterly reports.
Generate reports based on data collected.
Safeguard the confidentiality of project data and ensure compliance with data security protocols.
Assist in the setup of data collection systems and suggest improvements for efficiency.
Minimum Qualifications include:
A university degree or minimum 2 years' experience in related fields
Technical knowledge of coffee, agriculture, soil fertility, and fertilizer usage and production are helpful.
Ability to take initiative and make decisions independently. Ability to work with a diverse audience.
Strong writing and communication skills.
Fluency in English and Spanish with ability to translate.
