Job Summary
We are seeking a detail-oriented Administrative Assistant to join our team. A person who wants to develop more into an Accounting Office Administrator. The ideal candidate will provide support to ensure efficient operation in our office environment.
Duties
Answer and direct phone calls
Organize and schedule appointments
Write and distribute email, correspondence memos, letters, faxes and forms
Assist in the preparation of regularly scheduled reports
Update and maintain office policies and procedures
Order office supplies and research new deals and suppliers
Provide General Support for Partners
Submit and reconcile expense reports
Record transactions in quickbooks system
Assist the audit and tax department with basic filings such as PR and US income tax extensions, annual reports and volume of business declarations among others.
Assist in agencies appointments managing basic cases
Qualifications:
- Proven experience as an Administrative Assistant or similar role
- Bilingual proficiency is a plus
- Strong time management skills and ability to prioritize tasks effectively
- Excellent phone etiquette and communication skills
- Proficiency in MS Office
- Previous experience as a receptionist is advantageous
- Strong customer service orientation
- Ability to handle sensitive information with confidentiality
- Strong file management skills
- Computer literacy with the ability to learn new software quickly
- Car is needed to pick up mail, pick up office supplies, clients checks or documents and assist with local agencies.
Job Types: Full-time, Part-time
Pay: $11.87 - $12.46 per hour
