Description
The Administrative Assistant II serves as the primary point of contact and representative of Lake Forest Cemetery, ensuring exceptional customer service for residents and visitors. This role requires a compassionate, detail-oriented professional to assist the public with cemetery services while supporting a range of administrative tasks. The ideal candidate is a self-starter who is his motivated to take lead and the day-to-day administrative functions of the cemetery.
This position is ideal for an experienced office professional with excellent technical and organizational skills, a passion for helping others, and a respectful approach to sensitive matters. You will help maintain cemetery records, assist in burials coordination, and uphold the cemetery's public-facing presence through administrative duties and customer support.
Starting Salary Range: $59,371 - $68,097 DOQ Full Salary Range: $59,371 - $85,550 This position will remain open until filled.

Examples of Duties
Under the supervision of the City Clerk, the Administrative Assistant II will be responsible for:
Burial Coordination: Process and manage all burial-related documentation including orders, invoices, permits, authorizations, and legal documents. Records Management: Maintain and update cemetery records, maps, and the Cemetery Information Management System (CIMS). Ensure accurate data through on-site verification of lots, memorials, and burial locations. Customer Service: Provide respectful and compassionate assistance to families, vendors, and visitors. Offer information and guidance on cemetery services and direct inquiries accordingly. Standard Operating Procedures: Maintain a Standard Operating Procedures (SOP) Manual for cemetery operations. Website & Social Media: Oversee and update the cemetery's website and social media channels, ensuring timely and relevant information is accessible to the public. Accounting Support: Assist with accounts payable, and other financial transactions to ensure smooth cemetery operations. General Assistance: Support team members with light housekeeping to contribute to a well-maintained environment at the Cemetery Gatehouse and other duties as assigned. QualificationsMinimum 3+ years of administrative experience or in a related field. Detail-oriented with strong organizational skills and the ability to work independently. Proficient in Microsoft Office Suite (Word, Excel, PowerPoint) and experienced in using various office software. Ability to become licensed as a Cemetery Customer Service Employee (through the Illinois Cemetery and Funeral Home Association) within the first year of employment. Experience or familiarity with cemetery operations is a plus. Strong communication and interpersonal skills, with the ability to handle sensitive matters with compassion and discretion.
