Job Title: Coordinator, Mental Health Administration
Department: Mental Health
Report to: Director of Clinical Training and Administration
Location: Westside Mental Health Office, 1749 14th Street, Santa Monica, CA
Hours: Monday-Friday, 8:00am-4:30pm
Status: Full-Time, Non-Management, Non-Exempt

Summary
The Coordinator of Mental Health Administration will manage administrative operations for the Mental Health Department.

Duties and Responsibilities
1. Provide productivity and billing reports for DMH-funded to program and department leadership to ensure financial goals are being met.
2. Conduct data analysis of billing and outcomes of the Mental Health Department programs and provide findings as well as recommendations to program and department leadership.
3. Attend and participate in monthly DMH Billing meetings with Finance and department leadership.
4. Oversee productivity incentives by providing billing and productivity reporting, identifying staff incentive eligibility, and execute communication to department and agency leadership.
5. Act as Liaison for the agency to DMH for C-Number and incident reporting systems to ensure programs are meeting funder contract requirements and to problem solve issues with systems as they arise.
6. Assist and coordinate C-Number registration and LPS-Designation for the agency.
7. Maintain record keeping as it pertains to on-call systems, LPS-Designation, incident reporting, productivity and billing.
8. Attend department meetings with staff and leadership to provide necessary administrative updates and report on deliverables.
9. Managing and deliver reports to appropriate parties as it relates to billing and productivity for Mental Health Department funded programs.
10. Oversee agency and department on-call systems, develop and update monthly calendars as necessary, and troubleshoot system issues as they arise.
11. Provide support and training to staff and leadership on administrative functions and operations of mental health department in collaboration with department leadership and Clinical QA Department.

Qualifications
1. 3+ years' experience in administrative work
2. Significant experience with office management and daily operations
3. Strong verbal and written communication skills
4. Detail oriented with excellent time management, organization, verbal, and interpersonal skills
5. Able to read and write in English
6. Strong working knowledge of Medi-Cal documentation and requirements
7. Strong understanding of advocacy and the role it plays in mental health
8. Proficient in Microsoft Word, Outlook, Excel, and database applications
9. Current, valid California Driver's License with an acceptable driving record
10. Strong interpersonal and team building skills
11. Able to obtain and maintain CPR/1st Aid certification

Preferred Qualifications
1. Experience with Electronic Health Record System for Medi-Cal funded programs.
2. DMH and Medi-Cal billing and productivity knowledge.
3. Experience in an administrative role for county-funded mental health programs.
4. Minimum 30 WPM typing speed
5. Bilingual Spanish

Work Environment
1. Field ( may need to travel) and indoor office environment
2. On occasion walk or drive to different local sites
3. Regularly required to sit, stand, bend and occasionally lift or carry up to 35 pounds
4. Will necessitate working in busy and loud environments
5. Will be exposed to elements like cold, heat, dust, noise and odor
6. May need to bend, stoop, twist , and sit throughout the day
