POSITION TITLE: CUSTOMER SERVICES AND DOCUMENTATION ASSISTANT

POSITION SUMMARY:
The
Customer Service and Documentation Assistant (CSDA)
is responsible for the issuance of deliveries for import cargo, pulls out all documentation, reports, manifests, for Vessels and service assigned. Coordinate and monitor all cargo requested for U.S. Customs examination. For delivery purposes, employees should have knowledge of US Customs/Excise tax rules and regulations. Able to identify problems, determine options, reach, and implement solutions. Provide personalized service and build relationships with customers, high quality service and assistance before, during and after the customer's requirements are met.
ESSENTIAL FUNCTIONS OR RESPONSIBILITIES:
Advice customers on US Custom inspections, verify all data in US Customs system is accurate.
As far as customer service is concerned, the main function is to process the requests for delivery of cargo or deliver orders, answer customer calls and assist with their requests and/or situations, direct customer concerns to the right person if they are not in the hands or within reach of the specialist to be able to help the client.
Assist coworkers as far as possible and be willing to help in any management that the company understands is necessary.

Assist customers' inquiries.
Deliveries; included US Customs monitoring/ OBL/ Tax Release/ Payments/ Invoices/ Trucker Code/ Terminal Authorization.
Direct communication with all the departments that work directly with containers, operations, customer service export and import and sales department.
Documents filing (all release/ delivery create file center per vessel/ per bill of lading.
Handle US Customs and Local Tax Information audits by providing supporting evidence.
In terms of customer service, the main function is to process the requests for delivery of cargo or deliver orders, answer customer calls and assist with their requests and/or situations, direct the concerns of Customer to the right person if it is not in the hands or within reach of the specialist to be able to help the client.
Prepare and provide brokers and/or customer documentation. Create arrivals FIS system.
Prepare EDI files and convert vessel AIS.
Will be responsible for complying with all internal and external safety regulations.
All other assignments needed and related as directed by the Customer Service Manager/Supervisor or Ayala's Management Team.
EDUCATION, EXPERIENCE AND SKILLS REQUIRED:
2+ years' experience in customer service and/or logistic role.
Associate degree or College Degree – Preferable International Business and Logistic
A high level of integrity, accuracy, dependability, enthusiasm, and confidentiality.
Ability to work well in a team environment. Must have great interpersonal skills.
Ability to work with problems that involve certain concrete variables in common situations,
Analyze problems and provide concise decisions or ideas.
Maturity to adapt to change as well as variable work schedule
Proficient in Microsoft Office applications (Excel, Word, and PowerPoint).
Strong sense of professionalism and discretion required.
Strong technical, organizational and time management skills in addition to excellent written and verbal communication skills in a professional environment. Must be an effective listener, clear and direct.
WORK ENVIRONMENT:

The incumbent is regularly standing while he is carrying out the essential tasks. Often the incumbent must walk and talk or listen. It is often required that you use your hands to touch, handle or feel and reach objects with your hands and arms. Occasionally the incumbent should move or lift objects weight up to 50 pounds and should kneel, crouch, or squat. It requires near vision and to be able to distinguish colors. Pay: $12.00 - $13.00 per hour
