Job Description

The College of Integrative Sciences and Arts (CISA) Dean's Office is seeking a dynamic Department HR Specialist, Senior to join our team on the Polytechnic Campus. In this role, you will report to the Associate Director of Human Resources for CISA and will work closely with the CISA HR Team, faculty heads and leadership to understand and coordinate the human resource functions that support the life cycle of the college employee base.

Working Environment Activities are performed in an environmentally controlled office setting subject to extended periods of sitting, keyboarding, and manipulating a computer mouse (75%); required to stand for varying lengths of time and walk moderate distances to perform work (10%). Frequent bending, reaching, lifting, pushing and pulling up to 25 pounds (5%). Regular activities require ability to quickly change priorities which may include and/or are subject to resolution of conflicts. Ability to clearly communicate to perform essential functions; Regular use of standard office equipment including, but not limited to: computer workstation/laptop (keyboard, monitor, mouse), printer, fax, calculator, copier, and associated computer/technology peripherals. This position receives regular review of objectives by department administrator. Hybrid work is an option for CISA employees. Hybrid arrangements allow employees to spend a minimum of 60% of their regular workweek at their primary ASU work location. Dean or Provost level approval is required. Background Check Statement

Minimum Qualifications

Bachelor's degree in a field appropriate to the area of assignment AND five (5) years of related administrative experience, OR, Nine (9) years of related administrative experience, OR, Any equivalent combination of experience, and/or education from which comparable knowledge, skills and abilities have been achieved.

Desired QualificationsExperience in human resources practices, regulations and standards. Experience in ASU payroll transactions. Experience with visa applications. Experience working in HR higher education environment. Experience using the following software: BrassRing, Interfolio, PeopleSoft Human Resources, Workday, Time and Attendance System (TAS), Microsoft Office, Dropbox and Adobe Sign. Experience in maintaining confidentiality regarding sensitive/confidential information pertaining to payroll, employee issues. Evidence of a passion for innovative HR solutions and process improvement. Evidence of a proven track record of working in an environment with quickly changing priorities. Essential Duties Recruitment, Hiring and Position Changes: Coordinates the recruitment and hiring process for all positions in assigned CISA areas. Works with hiring supervisor and committees to facilitate the search process using established guidelines and processes to completion of recruitment. Utilizes university systems to manage and process faculty, staff and student hiring. Prepares correspondence associated with and necessary for hiring employees, documenting changes in position, renewals, and processes actions accordingly. Payroll: Manages ASU Payroll for assigned college areas to ensure accuracy of payroll information, including position and funding changes. Assists with ASU On-Cycle Payroll bi-weekly review and investigates payroll discrepancies to confirm correct and timely payments. Manages Department Time Administrator (DTA) for assigned units to ensure accurate and timely recording of exceptions and time reporting. Responsible for compliance auditing at the college level to verify supporting documentation for all transactions is thorough and correctly filed in the personnel and reconciliation folders. General: Manages and processes leave requests for the assigned college areas and timesheet entries for employees on leave. Coordinates employee visa applications and renewal processes for assigned college areas. Participates in a variety of departmental, college, and university-wide initiatives and meetings to represent human resource interest. Regularly responds to a diverse range of questions from faculty, staff and students by phone, email, and in person. Processes a wide range of transactions using university systems. Ensures the maintenance of electronic personnel records based on college, university, state and federal guidelines. Takes responsibility for fostering a positive work culture, advancing our values, and championing engagement in all its forms.
