GENERAL DESCRIPTION:
Responsible for handling and coordinating the logistics of Classicare events and activities and the efforts and initiatives related to the Advantage line of business. Identifies and develops work plans for region-level initiatives and provides recommendations to strengthen relationships with internal and external customers to increase company exposure resulting in growing Classicare sales.
ESSENTIAL FUNCTIONS:
Accountable for handling pre-allocated regional budgets for each event to maximize sales results and ROI (Return on Investment).
Performs market share analysis of competitors to establish a roadmap for regional initiatives.
Performs sales level analysis to determine the cost of initiatives vs. registrations or sales to move the initiative if it does not work well in that region (cost-effectiveness).
Requests and compares suppliers' costs through quotations and prepares expense reports on the hiring of suppliers as needed or as requested by the management.
Responsible for coordinating supplier contracting, follow-up calls, promotional agency, and external supplier confirmations for the Advantage market events. In addition, coordinate internal confirmations from support departments as needed.
Align efforts to increase Classicare sales in designated regions, including retention and sales events. Identify new and potential Medicare beneficiaries in municipalities and areas.
Requests and coordinates support material for events in advance and as needed.
Responsible for ensuring that the CMS (Center for Medicare and Medicaid Services) Marketing Guidelines are met before, during, and after each event, as well as the venue selected for each event.
Establishes and maintains relationships with municipalities, government entities, and non-profit associations (mayors, secretaries, suppliers) for the company's participation in social and community events with the target audience (Medicare Beneficiaries).
Schedules, coordinates, and participates as the unit's primary liaison in external meetings related to initiatives, logistics, and coordination of events within assigned regions and meetings that may arise as requested.
Confirms and ensures the participation of salespeople and/or promoters at events and sales points coordinated with regional sales managers.
Participates actively in events to monitor field details and ensure compliance and effectiveness. Provides recommendations as needed and requested.
Work to collaborate with regional sales outlets to ensure effective contract negotiations, coordination, and completion.
Develop and prepare initiatives to present renewal proposals, contracting documentation, or new sales points to clients.
Promotes marketing negotiations for the Beneficiary Value Programs and manages client situations such as participating supermarkets or potential business alliances.
Participates in conventions, health fairs, after-hours activities, among others, as requested.
Reports the progress of events to the management according to the established schedule, operational details, and event results.
Responsible for maintaining organized and updated files for each event, including event checklists, expense summaries, and proposals, among others.
Presents a calendar of activities and work plans to the management for them to review at a staff meeting.
Handles the budget of assigned regions considering needs, market share, and budget balance.
If required, develop a rundown or activation plan for each assigned event.
Supports other business line initiatives and department activities as required.

Must comply fully and consistently with all company policies and procedures, with local and federal laws as well as with the regulations applicable to our Industry, to maintain appropriate business and employment practices.
May carry out other duties and responsibilities as assigned, according to the requirements of education and experience contained in this document.
MINIMUM QUALIFICATIONS:
Education and Experience:
Bachelor's degree in Business Administration, Marketing, Advertising, Public Relations, Communications, or related areas. At least two (2) years of experience in areas related to communications, marketing, promotions, and/or event coordination.
"Proven experience may be replaced by previously established requirements."
Certifications / Licenses:
Valid driver's license in the Commonwealth of Puerto Rico.
Other:
Availability to move to different towns in Puerto Rico, and work extended hours and weekends, according to operational needs.
