Job Summary: Bay Cove seeks an enthusiastic and results-oriented Events and Volunteer Manager to play a key role in using special events and volunteer engagement to enhance fundraising. This vital position offers the chance to make a significant impact by leading and expanding our volunteer program and spearheading the planning and execution of impactful fundraising events.
This is a non-exempt position.
Essential Functions of Position: Collaborate with the advancement team to plan, execute, and manage fundraising events (galas, auctions, community events) that support Bay Cove's mission and strategic goals. Oversee event logistics, including venue selection, catering, and vendor management. Work creatively with the marketing team to develop impactful event themes and branding. Identify, prospect, and solicit sponsorships (financial & in-kind) to bolster event resources. Lead event operations on the event day, ensuring a seamless experience. Facilitate internal communication and manage pre-event kickoffs, progress check-ins, and post-event evaluations. Work with the advancement team on event briefings, run-of-show, and speaker notes. Enhance and maintain a variety of volunteer opportunities aligned with Bay Cove's ever-evolving needs. Work closely with staff to identify areas where volunteers can provide valuable support, like our signature "Cookin with CASPAR" program. Develop detailed volunteer service descriptions and create opportunities for skill-based volunteering. Act as a central point of contact for volunteers, managing schedules, ensuring adequate staffing for events and programs, and fostering a positive volunteer experience. Build and maintain volunteer policies and procedures and organize recognition programs to celebrate their contributions. Analyze volunteer program data and recommend improvements to maximize impact. Partner with marketing to promote volunteer opportunities and attract passionate individuals to our cause. Build strong relationships with corporate and individual volunteers, expanding Bay Cove's volunteer network. Serve as a single point of contact for internal stakeholders and volunteers, providing ongoing support and guidance and addressing any concerns. Craft clear and engaging written communication for volunteers, including emails, event information, and volunteer training materials. Job Requirements: 2-3 years of experience in nonprofit event production and volunteer program management. Highly motivated and organized individual with a passion for non-profit work. Proven experience in volunteer program management and relationship management. Excellent project management skills with the ability to juggle multiple tasks and deadlines effectively. Strong communication and interpersonal skills, with the ability to build rapport with diverse stakeholders. Experience in event planning and logistics, including sponsorship solicitation, budget management, and vendor coordination. Committed to data integrity, tracking, and reporting in a CRM. Previous experience using Blackbaud products is preferred. Creative thinker with a knack for developing engaging event themes.
