We are seeking a highly organized and proactive Executive Assistant with bookkeeping skills to support our executive team and manage our internal financial records.
Job Summary: The Executive Assistant & Internal Bookkeeper will provide high-level administrative support to the Managing Partner while also handling day-to-day internal bookkeeping tasks. This dual role requires exceptional organizational skills, attention to detail, and the ability to manage sensitive information with discretion.
Key Responsibilities:
Administrative Support:
Calendar Management: Coordinate and manage complex calendars, schedule meetings, and arrange travel for executives.
Communication Management: Serve as the primary contact between executives and internal/external stakeholders. Handle phone calls, emails, and correspondence with professionalism and discretion.
Meeting Coordination: Organize meetings, prepare agendas, take minutes, and follow up on action items. Ensure all necessary materials are prepared and available.
Office Management: Oversee office operations, including managing supplies, equipment maintenance, and vendor relationships. Maintain an organized and productive office environment.
Project Support: Assist in the planning and execution of special projects and initiatives as directed by the executive team. Coordinate with other departments to ensure project goals are achieved.
Confidentiality: Maintain a high level of confidentiality regarding all sensitive and proprietary information.
Bookkeeping:
Financial Record Keeping: Maintain accurate and up-to-date financial records, including accounts payable and receivable. Process invoices, expense reports, and reimbursements.
Bank Reconciliation: Reconcile bank statements and ensure accuracy in financial transactions and records.
Qualifications:
Education: Bachelor's degree in business administration, Accounting, Finance, or related field preferred.
Experience: Minimum of 1 year of experience as an executive assistant or in a similar role with bookkeeping responsibilities.
Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Quickbooks.
Excellent organizational and multitasking abilities.
Strong written and verbal communication skills.
Ability to handle financial data with accuracy and confidentiality.
Strong problem-solving skills and attention to detail.
Attributes:
Proactive and resourceful with a strong problem-solving mindset.
Ability to adapt to changing priorities and manage multiple tasks effectively.
High level of professionalism.
Place of work:
This is a hybrid position with office hours in Caguas and remote work. It is projected to be on a 50/50 percent of remote and in office work.
