Overview
This position independently performs diverse and complex administrative duties in support of CEO, Chairman of the Board, and executive management, which requires a thorough knowledge of the organization, administrative guidelines and procedures, as well as an understanding of the business environment.
JOB DUTIES AND RESPONSIBILITIES: Works under minimal supervision to provide administrative support for complex programs, processes, and projects requiring a broad scope of responsibility. Negotiates and sets priorities based upon work objectives. Prepares information which may require collecting, analyzing and reporting complex information gathered from a variety of sources, utilizing advanced data definition and analysis tools to gather and report on business metrics. Arranges and manages all aspects of the CEO's business travel, including flights, accommodations, ground transportation, meals, itineraries, and expense reimbursements. Manages expense reports, invoices, and other financial documents. Coordinates meetings/scheduling and calendar management, and arranges for necessary equipment, and/or catering as needed. Organizes and coordinates board meetings, including scheduling, preparing agendas, catering, and distributing materials. Interacts professionally with directors of the Board and family owners. Maximizes the executive's time by assuming routine and complex administrative tasks and acts on the executive's behalf in their absence regarding administrative matters. Serves as an information resource to leadership and/or outside departments on department guidelines and procedures. Interfaces with executives and others outside of the company who have business relationships with the CEO. Facilitates effective communication within the executive team and across departments. May attends key meetings, take notes and send out for distribution. May prepare executive presentations. Must be on-site for this position, with some flexibility. Other duties as assigned. QUALIFICATIONS: Knowledge, Skills, and Abilities Detail oriented with strong customer focus. Advanced knowledge of Microsoft suite. Excellent written and verbal communication skills. Must be able to follow written and verbal instructions and troubleshoot problems when necessary. Strong interpersonal skills with the ability to interact professionally with individuals at all levels of the organization. Ability to understand and maintain confidentiality and applies discretion appropriately. Ability to work effectively in a team environment. Advanced organizational skills and ability to multi-task. Ability to prioritize and manage multiple projects simultaneously while meeting tight deadlines. Flexibility to adapt to changing priorities. Education and Experience Typically requires 8 years of progressively increasing administrative responsibilities with five of these years supporting C-suite executives in a corporate environment. Bachelor's degree in business administration, communications, or related field preferred. Demonstrable history of using sound judgement pertaining to business decisions. Experience using artificial intelligence tools such as ChatGPT or equivalent. Disclaimer
