Professional Recruiters are seeking a highly organized and proactive Executive Assistant to provide comprehensive administrative support for our
Luxury Real Estate Agency
client. The ideal candidate will possess exceptional communication skills, a strong attention to detail, and the ability to manage multiple tasks efficiently. This role requires proficiency in various office software and tools, ensuring smooth operations within a fast-paced environment.
Responsibilities
Support all aspects of the broker's business administration.
Answer phone calls, handle emails, keep file system up to date.
Manage all systems for dealing with sellers, buyers, client database management, lead generation tracking, lead capture, lead follow-up.
Support brokers in staying up to date with all marketing initiatives.
Support all brokers in generating reports, processing invoices, and managing accounts receivable and payable.
Maintain updated property listings.
Support in coordinating purchases of any office equipment, marketing materials, and any other office related materials and supplies.
Maintain clean and organized office.
Support in the recruiting process, hiring, training of new staff.
Assist agents in all listing and sales related activities.
Hold agents accountable for carrying out all agreed lead generation activities.
Coordinate travel arrangements and itineraries for executives as needed.
Assist in the preparation of meeting agendas and take minutes during meetings to ensure accurate documentation.
Serve as a personal assistant when required, supporting executives in both professional and personal tasks.
Requirements
Bachelor's degree. Preferred in Administration and Office Systems.
Proficient bilingual (English)
4-years of work experience as an Administrative Executive Assistant and or Executive Administrator.
Real Estate Mortgage and legal document experience.
Experience
Proven experience as an Executive Assistant or in other administrative roles is preferred.
Pet Friendly Environment.
Strong computer literacy with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and familiarity with Drop Box, Paperless and Alchavo.com platform.
Experience with office phone systems and administrative procedures is essential.
Excellent organizational skills with the ability to prioritize tasks effectively in a dynamic environment.
Strong data entry skills with attention to detail to ensure accuracy in all documentation.
Ability to maintain confidentiality and handle sensitive information with discretion.
Job Type: Full-time
Pay: $35,000.00 - $55,000.00 per year
