Role Overview The Executive Assistant will support a senior executive by managing day-to-day tasks, handling outreach, and assisting with both personal and team projects.
The role requires someone highly organized and adaptable who can work independently in a fast-paced environment.
Key Responsibilities Executive Support: The Executive Assistant will manage the executive's calendar, meetings, and communications, assist with booking reservations and researching local services (e.g., plumbers, cleaners, doctors), support legal and KYC paperwork as well as personal tasks like setting up bank accounts, and handle cold outreach via email and LinkedIn to potential clients or candidates, ensuring clear communication and timely follow-ups.
Administrative and Operational Support: The Executive Assistant will research and negotiate with local service providers, manage schedules and updates for eBay and Airbnb listings, and facilitate communication between internal teams and external partners to ensure timely project progress.
Communication and Outreach: The Executive Assistant will handle cold outreach to potential clients or candidates via email and LinkedIn, ensuring professional communication and maintaining accurate records of outreach and follow-ups.
Requirements Must be based in San Juan, Puerto Rico.
Fluent in both English and Spanish, with strong written communication skills for outreach and correspondence.
Responsiveness in messages as needed, including weekends.
Highly organized with strong attention to detail and the ability to manage multiple tasks effectively.
Must be reliable, trustworthy, and able to handle sensitive information with confidentiality.
Comfortable working independently, with a high level of ownership over work responsibilities.
Proactive, with the ability to anticipate needs and stay on top of responsibilities.
Must be responsive to messages, including weekends, as needed (though weekend work is not expected).
Tech-savvy and experienced with tools like Notion and Google Calendar.
Previous experience as an Executive Assistant supporting high-level executives or founders is required.
Nice-to-have Experience with cold outreach and record-keeping systems.
Familiarity with negotiating service provider rates and managing operational logistics.
Has experience in managing broad organizational responsibilities.
