Job Description: Executive Assistant to the President - Insurance Agency
Position Summary:
The Executive Assistant to the President provides direct support to the President or CEO of the insurance agency by managing administrative, operational, and strategic tasks, while also contributing to accounting and financial areas. This role involves coordinating schedules, handling correspondence, tracking key projects, and assisting with the financial management of the company. The Executive Assistant acts as a liaison between senior management, employees, and clients, ensuring efficient operations and always maintaining confidentiality.
Key Responsibilities:
Schedule Management:
Organize appointments, meetings, conferences, and business trips for the President.
Report and Presentation Preparation:
Assist in the preparation of executive reports, business proposals, and high-level presentations.
Correspondence Handling:
Screen emails, phone calls, and relevant correspondence, responding or redirecting as needed.
Project Coordination:
Monitor strategic initiatives, ensuring deadlines and objectives are met.
Support for Key Decisions:
Conduct preliminary research and analysis to assist the President in decision-making.
Administrative Oversight:
Coordinate with other departments to ensure smooth office operations and compliance with internal procedures.
Client and Partner Interaction:
Assist in communication with key clients and strategic partners, ensuring professional and efficient service.
Accounting and Financial Management:
Support the review of financial reports, budget analysis, expense control, and invoice tracking. Assist in the preparation of financial statements and audits.
Confidentiality:
Maintain discretion and confidentiality in all matters related to the President's office.
Requirements:
Education:
Bachelor's degree in Business Administration, Finance, Accounting, Insurance, or related fields.
Experience:
Minimum of 3-5 years of experience in administrative or executive support roles, ideally in an insurance agency or financial sector.
Technical Skills:
Proficiency in productivity tools (MS Office, CRM, insurance and accounting management software). Strong knowledge of financial accounting, budget management, and internal financial processes.
Soft Skills:
Excellent organizational and communication skills, with the ability to work under pressure. Strong time management skills and task prioritization.
Languages:
Advanced proficiency in both English and Spanish, written and spoken.
Competencies:
Strong knowledge in accounting and finance, including budget management and expense control.
Ability to manage multiple tasks and projects simultaneously.
Attention to detail and proactive problem-solving abilities.
Strong interpersonal skills to interact with all levels within and outside the organization.
