Position Overview: We are seeking a highly organized and proactive Hybrid Family Assistant to support a busy household in Mill Valley, CA. This role encompasses a broad spectrum of responsibilities, from administrative tasks to hands-on maintenance, ensuring the smooth operation of the family's properties and schedules. The ideal candidate will manage administrative functions efficiently from a remote setting and visit the family's residence only as needed. The successful candidate will be self-motivated, enjoy a diverse range of duties, and prioritize precision and efficiency in their work.
Key Responsibilities: Child Transportation: Manage school drop-offs and pick-ups for children in San Francisco three times per week. Financial Management: Handle payments for household staff and various services, review monthly credit card statements to identify discrepancies, and manage refunds. Property Coordination: Remotely oversee the cleaning and maintenance of a second home in Tahoe, including arranging for house cleaning post-visit and coordinating guest access. Make necessary reservations for dining, spa, and beach activities for family trips. Maintenance Scheduling: Schedule and oversee quarterly carpet and upholstery cleaning, and biannual cleaning of interior/exterior windows and sills across three properties. Vehicle Maintenance: Maintain cleanliness of three family vehicles, including vacuuming and wiping down interiors. Package Management: Manage returns by packaging items, preparing shipping labels, and handling drop-offs at courier services. Online Research: Conduct online research for various projects as requested by the family. Appointment Scheduling: Schedule appointments with repair and service personnel, ensuring the family's needs are met promptly. Sales Assistance: Assist with selling or donating items through online platforms like Nextdoor and Craigslist, ensuring items are listed and handled consistently. Exterior Maintenance: Regularly clean spiderwebs and dirt from external windows, furniture, and gates. Character Sketch: Assertive and confident personality with a great sense of humor. Comfortable taking charge, particularly when dealing with maintenance personnel and service providers. Not afraid to be direct and handle responsibilities independently after a 3-6 month training and ramp-up period. The ideal candidate is not a "people pleaser" but someone who can take initiative and manage tasks without needing constant oversight The client is not a micromanager but will be available for important questions or concerns, especially regarding critical projects. Overall, the role requires someone who can ensure smooth operations without frequent client involvement. Requirements: Proven experience in a similar role, with the ability to manage multiple tasks and properties efficiently. Strong organizational skills and meticulous attention to detail. Excellent communication abilities, with proficiency in managing virtual and in-person interactions. Experience in handling financial transactions and scheduling with a high degree of accuracy. Ability to work independently in a remote setting for administrative tasks. Flexibility to be onsite as required for specific duties. Valid driver's license and reliable transportation for travel between properties and for child transportation duties.
