Description JOB DESCRIPTION JOB TITLE: Administrative & Inventory Coordinator DEPARTMENT: VanUp REPORTS TO: General Manager STATUS: Non-exempt PRIMARY FUNCTIONS AND RESPONSIBILITIES: PurchasingSource and order materials, supplies, and equipment as needed. Negotiate with suppliers to secure the best prices and terms. Maintain accurate records of all purchases.Inventory Receiving Inspect and verify the receipt of all incoming shipments. Ensure that received goods are accurately recorded and stored. Address any discrepancies or issues with shipments promptly.Inventory Management Track inventory levels and reorder supplies as necessary. Manage the entire inventory control process, including receiving, work order allocations, storage, cycle counting, and inventory reconciliation.Monitor inventory levels and conduct regular analysis to identify potential stock shortages or excesses and take appropriate actions to mitigate risks. Conduct regular audits of inventory records, identify root causes of discrepancies, and implement corrective actions to improve accuracy and minimize variances. Vehicle Inventory managementEntering vehicle information in the system.Doing vehicle inspections at drop off.Create and close work orders.Create MSRPs and invoices for internal upfits.Send weekly internal reports of vehicle inventory.Financial Responsibilities Collect payment from customers as work orders are closed. Balance the closed transactions to monies received at the end of each day. Prepare and send daily financial reports to the accounting office.GeneralAnswer telephone and transfer calls to appropriate staff member. Greet and direct visitors to the company. Manage reception and waiting areas cleanliness. Perform other duties as assigned by management.Keep accurate and legible records.Adhere to all company policies, SOP's and guidelines.Adhere to all quality, safety, policies, procedures, reporting.Other Duties as assigned by manager. Qualifications QUALIFICATIONS: Skills & Abilities:
Strong organizational and time management skills.Excellent communication skills, attention to detail and accuracy.Ability to operate general office equipment. Experience and Education:
High school diploma or equivalent.Knowledge of Proven experience in purchasing, receiving, or a related field.Intermediate computer and math skills.Proficiency in Microsoft Office and inventory management software. PHYSICAL REQUIREMENTS: Requires ability to visually observe the condition of surroundings.Requires ability to hear and speak. Requires ability to walk and stand and sit for prolonged periods of time. Requires ability to stoop, bend, reach, lift and carry items between 20 and 55lbs often.Requires ability to hear and speak and frequently hear and speak in noisy environments.
