Responsibilities:
The
Lead Compliance Coordinator
works with the Project Manager (PM) to support the organization and completion of various Quality Management-related inspection tasks. Incumbent will communicate with clients regarding status and project updates and will coordinate with the PM to escalate any needs or details to ensure a smooth flow of work. Will be responsible for oversight of client system access, invoicing, and client billing and will report directly to the PM.
Inspection Scheduling
The Lead Compliance Coordinator works with field inspectors to assist in the scheduling of quality assurance inspections on residential and commercial solar installations. The scheduling is done real-time using phone, email, and text. The Lead Compliance Coordinator will maintain a calendar of scheduled inspections and will confirm inspections with homeowners and project stakeholders. Changes and cancellations must be recorded and transmitted to the inspectors and project manager.
The Lead Compliance Coordinator may also assist the inspectors with changes to the schedule or issues with site access. The inspection lifecycle is tracked using company software and supplemental spreadsheets. Effective coordination with the program executive, managers, employees, and teaming partners will be critical. The Lead Compliance Coordinator will be the IBTS daily point-of-contact with internal PRPB representatives and external private and public stakeholders.
The Lead Compliance Coordinator may conduct onsite inspections as needed to ensure compliance with program requirements support program tasks, update program manuals, and to understand client needs firsthand to provide better services. This individual will facilitate basic task training for new staff coming in to ensure uniformity of services and adherence to program requirements.
Responsibilities
Support division staff in coordinating schedules to ensure volume coverage.
Complete client questionnaire during scheduling call attempts.
Maintain electronic records through data entry and database management.
Attend meetings as needed and compile minutes and follow up actions.
Develop and maintain an efficient organizational system for reporting and internal/external communications.
Act as the point of contact for internal resources and external clients, liaise with clients to handle requests and queries from managers
Receive and coordinate incoming inspection requests or reporting from clients, including Inspector assignments and notifications
Manage scheduling process for statewide QA inspection program and supervise Scheduler and inspectors in the same.
Understand program requirements and be capable of supporting field staff in times of need.
As programs are in place, assist in the development of Quality Assurance and Quality Control procedures as well as in the implementation of these procedures.
Regular and timely updates to company database and scheduling portal, including client notifications
Invoicing, both external and internal, to accommodate and ensure timely payment and billing of all completed work.
Track accomplishments and is responsible for all reporting requirements.
Manage the development of all program policies and standard operating procedures.
Qualifications:
MINIMUM REQUIREMENTS
5 years of minimum experience with CDBG-DR, FEMA Public Assistance, or other federal government disaster-related recovery efforts.
10 Years experience with engineering
Knowledge of solar PV sales and ownership
Bachelor's degree in Engineering
Must speak, read, and write English and Spanish.
Other Capilities
Demonstrated capacity to effectively manage multiple project tasks, initiatives, direct reports, and subcontractors.
Ability to manage projects and resources remotely using web-based tools and databases.
Possession of strong leadership skills and ability to provide clear direction and performance assessment.
Effective at fostering a positive attitude towards IBTS staff, contractors, and clients.
Significant understanding of Microsoft Office Suite products.
Excellent written, communication and public liaison/customer service skills.
Physical Demands:
The role may require occasional travel to project sites, which may include exposure to varying weather conditions and terrains.
Ability to stand, walk, and navigate construction sites or outdoor environments for extended periods during onsite inspections.
Occasional lifting and carrying of materials, equipment, or documents weighing up to 25 pounds.
Prolonged periods of sitting at a desk and working on a computer, with occasional bending, reaching, and manual dexterity required for data entry and paperwork.
Visual acuity is required for reviewing detailed documents, inspecting project sites, and using computer software.
