Job Description
Prepares outgoing mail, including UPS shipments, as requested and ensures that mail is sent out each day.
Assist with copying, scanning document for OA or CTS files as needed.
Assist with generation of reports, including data gathering via the computer system, printed reports or other available information.
Responsible for processing supportive services including reviewing supportive services forms, contacting client to verify address (if needed), order items and verify receipt.
Received and distribute CTS Checks for students after their center's completion.
Assist in the Manager/ Supervisor obtaining OA/CTS information or documentations as requested by Corporate Office or DOL Regional Office.
Answer phones and direct callers to appropriate staff within office when needed.
Assemble advertising materials or packets as requested.
Make office material requisitions for the OA/CTS Department.
Support Manager/ supervisor in collecting payroll or training documentation for department.
Assist with generation of reports, including data gathering via the computer system, printed reports or other available information.
Cover for breaks, lunches, and time off when needed.
Assists with communications to obtain necessary backup documentation for OA files or CTS Placement verification as necessary.
Maintain inventory supply list and ensure office supplies are fully stocked
Keep organized records of all orders to be sent to Manager and/or Accounting on a monthly basis
Communicate consistently and effectively with all customers to ensure positive customer relations.
Perform general office clerk duties
Identify needs prior to being asked.
Responsible for all documents to be uploaded into electronic case file system
Maintain Shared Drive for the Project
Other duties as assigned.
Qualifications
High school diploma or equivalent.
One year of administrative or clerical office experience.
Excellent internal and external customer service skills, including a positive attitude and good listening skills
Be able to work with people from diverse backgrounds and with diverse needs
Be able to multi-task, work independently, with excellent organizational and time management skills and have strong attention to detail
Knowledge of Microsoft Office software and ability to work in many different programs, including customer databases, Excel, Word, and PowerPoint
Have excellent written and oral communication skills.
Be fluent in English; be bilingual is a plus.
Must be able to handle sensitive materials and maintain confidentiality.
