Duties and Responsibilities
The Executive Office Manager plays a central role in ensuring that the day-to-day operations of an
executive office run smoothly, facilitating effective communication and organizational efficiency.
Oversee the daily operations of the executive office, ensuring all administrative tasks are completed efficiently and to a high standard.
Manage the executive's calendar, including scheduling meetings, appointments, and travel arrangements to optimize their time.
Act as the primary point of contact between the executive and internal/external stakeholders, handling correspondence and communications with discretion.
Manage internal communication and prioritization, including organizing and filtering email and messaging, flagging and managing action items and tasks, and holding key players accountable to priorities.
Prepare and edit documents, reports, and presentations for executive-level meetings and communications.
Facilitates the executive's decision-making by gathering and analyzing key information.
Oversees the execution of the executive's strategic decisions.
Coordinate and oversee the organization of high-level events and meetings, including logistics, guest lists, and venue arrangements.
Implement and maintain office management procedures to improve workflow and ensure the office operates smoothly and efficiently.
Handle sensitive and confidential information with the utmost discretion, ensuring data protection and privacy policies are adhered to at all times.
Directs, organizes, and schedules administrative functions for the organization.
Provides support and feedback to executive about organizational issues and objectives.
Defines project scope, objectives, and deliverables in collaboration with the executive and other leaders.
Oversees the design and implementation of projects.
Coordinates and monitors project progress, ensuring deadlines and budgets are met.
Collaborates with cross-functional teams to ensure successful project execution.
Identifies and manages project risks, implementing corrective actions when necessary.
Prepares project status reports and presentations to update the executive and other key stakeholders.
Facilitates project related meetings, as necessary.
Skills and experience that will lead to success.
Education: Bachelor's Degree in Business Administration, Management, or a related field
Experience: Office management and high-level executive support, administrative roles, project coordination and team leadership
