Overview:
We are seeking a highly organized and proactive Office Administrator to join our dynamic class action legal team. Based in San Juan, Puerto Rico, this role is crucial for managing the daily operations of our plaintiff's class action law firm, including HR, Admin, and Bookkeeping. The ideal candidate will be a strong leader with excellent organizational and communication skills, ready to support our vision of growth and excellence in plaintiff class action law. As a key member of our growing firm, you'll have the opportunity to make a significant impact, shape processes, and grow professionally alongside our expanding team.
Responsibilities:
Oversee daily office operations to ensure efficiency and productivity.
Implement and manage office policies and procedures.
Coordinate with various departments to ensure seamless workflow and communication.
Manage and support staff, including onboarding new employees, keeping personnel records, and facilitating ongoing training.
Oversee Bar Association compliance for attorneys.
Assist with financial management, including budgeting, billing, payments, and expense tracking. General bookkeeping is essential.
Communicate with external partners and vendors to maintain strong professional relationships.
Support leadership with administrative tasks and special company-wide projects.
Organize and manage office events, meetings, and schedules, including attorney travel for hearings.
Qualifications:
Proven experience in office administration or operations management, preferably within a law firm.
Demonstrated experience working remotely and managing a 100% remote company.
Excellent organizational, multitasking, and leadership skills.
Proficient in using the latest tech and software tools.
Strong communication skills, both written and verbal, in English and Spanish.
High level of integrity, professionalism, and attention to detail.
Preferred Skills:
Experience with legal practice management software (e.g., Clio).
Knowledge of accounting and financial management practices (e.g., QBO).
Familiarity with class action lawsuit processes.
Excellent technology skills and a willingness and interest in learning and implementing the latest technology to help run our practice more efficiently.
