Role Overview: The Executive Assistant/Billing Specialist serves a dual purpose, providing administrative support to the leadership team while managing billing and financial processes efficiently.
This role calls for a detail-oriented and highly organized professional who can handle sensitive information with discretion and deliver smooth, reliable operational support.
Key Responsibilities: 1. Executive Support Manage executive calendars, schedule appointments, and coordinate meetings for leadership.
Prepare agendas, take detailed minutes, and ensure follow-ups on action items from meetings.
Monitor executive email inboxes, prioritize communications, and respond when necessary.
2. Billing and Financial Management Handle health insurance billing, including claims management and resolving denied claims.
Oversee client billing processes, ensure timely invoicing, and follow up on outstanding payments.
Reconcile accounts and prepare financial reports, including monthly and quarterly summaries.
3. Operational and Client Coordination Serve as the main administrative contact, streamlining workflows and improving efficiency.
Maintain client records while ensuring HIPAA compliance and confidentiality.
Respond to client inquiries, mediate with therapists and insurance providers, and translate documents into Spanish when needed.
Requirements Experience in mental health care or related fields.
Bilingual in Spanish and English (written and verbal).
Excellent verbal and written communication with a professional demeanor.
3-5 years in administrative or billing roles, ideally in healthcare or therapy settings.
Strong organizational, multitasking, and attention-to-detail skills.
Proficient in billing tools like QuickBooks or Microsoft Excel.
Knowledge of insurance billing and HIPAA compliance preferred.
Ability to handle sensitive information with discretion and confidentiality.
Proactive, problem-solving mindset, able to work independently and in a team.
