Location: Onsite, Hillside, IL
Schedule: Monday - Friday, 8am-5pm
Salary: $58,000

As Operations Coordinator, you will report to the Director of Operations and interact with all members of the back-office operations team daily. This role is significant in our company as a means of expanding the client's foothold in Chicago's Union Labor industry. You will also interact with clients and laborers to create and maintain multiple fast-paced projects. Time management, organization, and communication skills are key to this role. Availability outside of standard office hours will be required from time to time depending on client demand.
Duties and Responsibilities: Work closely with the Account Manager on fulfilling client requests, including scheduling labor, and booking travel, equipment, and supplies. Contact laborers on scheduling for each type of labor request, with attention to detail as to what type of work is requested and workforce availability. Maintain client relationships by filling labor requests and responding promptly. Manage insurance certificate requests from clients, submitting to brokers and ensuring that requested inclusions are met for forms and endorsements. Distribute annual renewal certificates to the client base. Book travel for laborers as required for client projects, including hotel, flight, and car rental reservations. Distribute reservation information to laborers as required, and track and report costs to the back office team for billing. Work with our vendors and suppliers as needed to make reservations and/or purchases to fulfill client orders. Track receipts, invoices, and costs incurred for job costing purposes. Distribute invoices to Billing and AP accordingly. Perform other duties as needed and assigned. Qualifications: Bi-lingual in English and Spanish preferred. Construction industry knowledge or staffing experience is a plus. Ability to be flexible and function well in a fast-paced environment with a sense of urgency. Strong interpersonal and customer service skills. Communicate clearly and professionally both verbally and in writing. Outstanding organizational skills and strong attention to detail. Excellent time management skills with a proven ability to meet deadlines. Proficient with Microsoft Office Suite or related software. High School Diploma or GED, required.
