Description
ESSENTIAL DUTIES AND RESPONSIBILITIES
The Operations Manager is a member of the Education Division and reports directly to the Director of Operations. They are responsible for providing administrative support for all Education Division programing, assisting with Human Resources related tasks, and with planning and overseeing short and long-term projects. Specific responsibilities include:
Operational duties: Oversee and/or manage the boarding and training of all Education Division new hires;Along with program/division management, plan and implement staff trainings, development/programming activities, fundraising activities, Center events and other internal/external meetings as scheduled;Manage purchase and distribution of MetroCards, MTA transportation passes and mailing stamps;Provide assistance and support to program operational activities such as audits, work planning session, grant proposals, outreach activities and intake process;Assists Director of Operations with preparation of files for audits;Perform periodic review/audit of contracts to ensure regulatory compliance; make recommendations for solutions as appropriateTroubleshoot and implement innovative solutions to administrative issues as they arise;Assist with management and coordination of payments for vendor accounts as needed;Assist with the preparation of annual budgets and program and budget modifications;Collaborate with Director of Operations and other Division leaders to further develop and implement systems and procedures relative to program administration as well as operational functions for maximum efficiencyProvide suggestions and insight on how to improve on, or develop new initiatives and campaigns to foster growth within the Education Division;Develop and review branding for Education Division and represent Education Division at Brand Champions meetings/events;Serve as liaison for inter-organizational initiatives, including Brand ChampionsWork with the RiseBoro Community Affairs Team to utilize various platforms to create, develop and implement innovative promotional strategies and showcase social services;Provide support to Community Affairs with photographs, video and overall marketing materials;Complete additional operational and administrative tasks as assigned by Director of Operations and Vice President. Special Projects: Work with Director of Operations and senior staff to develop, implement and track methods of assessing the performance of each program with the use of measurable KPIsWork closely with the Director of Operations to develop, implement and maintain reporting tools such as spreadsheets, graphs and dashboards;Coordinate and assist in the RFP process and grant management activities for all potential Education funding, working alongside Community Affairs to execute proposals and grant requests. Human Resources duties: Act as a liaison between HR and Division to assist with recruitment and hiring of all Education Divisions staff in compliance with agency, contractual and other regulatory agencies policies and procedures, including but not limited to:Submission of job requisition to Director of OperationsCoordination of applicant screening and interview arrangementProvide support to Director of Operations in making final hiring and compensation decisionsInvolvement in development and continued update of the HRIS;In collaboration with Recruitment Coordinator, participate in job fairs;Periodic auditing of employee database to ensure accuracy; report all data discrepancies to HR department;Work with the HR team to schedule trainings for division, as necessary;Work with HR to coordinate staff meetings, open enrollment and information sessions for employee benefits;Maintain necessary files for audits including DOH and DOE roster(s) and submission of DOH expungement forms bi-yearlyMaintain confidentiality at all times Staff Development Coordinate with representatives from other Divisions to bridge gaps in onboarding and training, ensuring staff are oriented to programming across the agency;Coordinate with IT to ensure appropriate set-up of all new staff;Assist with the planning and implementation of staff trainings, development activities, fundraising activities, and division-wide events;
COMPETENCIES
A minimum of three to five years of experience performing administrative or direct service work; in a non-profit setting strongly preferredExperience in a fast-paced environment Excellent verbal and written communication skillsProficiency with various computer programs including Microsoft Office programs and Google DocsExperience coordinating projects and/or program initiativesDetail oriented, disciplined and organized Ability to manage time effectively Entrepreneurial spirit, ability to problem solve and build relationshipsAbility to manage multiple tasks simultaneously and execute goalsAbility to maintain confidentiality and use appropriate discretionBig-picture thinking and a visionaryAbility to work independently as well as collaboratively with a team, as required and necessaryHave a demonstrated commitment to supporting communities who have experienced systemic oppression and bias (e.g. people of color, LGBTQ+ people, immigrants, justice involved persons, etc.)
EDUCATION EXPERIENCE
Bachelors Degree required; orAssociate Degree and 3 years of relevant work experience in related field;Any combination equivalent to education and experience that provides the required knowledge and skills may be considered qualifying. Qualifications
