GENERAL DESCRIPTION:
The Program Coordinator is responsible for planning and execution of participant support activities, including design and development of real-world learning opportunities in the skilled trades. The program coordinator also provides oversight of program administration and contract compliance.

ESSENTIAL DUTIES AND RESPONSIBILITIES:
Program Operations
Assists Operations Manager in overseeing daily operations, including student participation, recruitment, data reporting and instruction.
Make recommendations to the Operations Manager for program priorities and/or improvements.
Responsible for coordination of program cohort schedules.
Monitors instructor certifications and related training, including supporting course registration; provides registration and course completion reports to managers as requested.
Coordinate registration, tracking and certification(s) records for required instructor training.
Maintains accurate and up-to-date records of staff training, certifications and achievements; submitting reports as required.
Community Engagement
Identifies and coordinates work-based learning opportunities.
Engages community-based employers to establish a pipeline for student placements and/or experiential learning opportunities.
Participates in community-based outreach events – e.g., job fairs, student recruiting events, etc
Collaborates with marketing and communication staff to promote HBI communication and branding strategies.
Administration, Compliance and Records Management
Assists in monitoring program budgets and recommends how to prioritize funds.
Monitors program performance outcomes, metrics and analytics to ensure all program/contractual requirements are successfully met.
Maintains accurate student records in ETO pertaining to program activities.
Submits purchase orders for supplies for Operation Manager approval.
Assists instructors in prioritizing tasks.
Other duties and responsibilities, as needed.
QUALIFICATIONS:
Required Qualifications
Education: Bachelor's degree in a related field or equivalent combination of skills, training, and experience.
Experience: A minimum of 5 years related experience in workforce development, program operations and/or program administration.
Preferred Qualifications
Two (2) years program management experience.
Experience with Community Development Block Grant (CDBG) administration and compliance.
Demonstrated ability to communicate, through a variety of media, with a wide range of government, industry, union, and other groups and individuals.
Excellent verbal and written communication skills.
Demonstrated conflict management and resolution skills.
Experience preparing program budgets, monitoring expenditures and implementing financial controls.
Strong computer skills, including proficiency with Microsoft Office and databases.
Experience handling confidential information.
WORKING RELATIONSHIPS
Internal: HBI Executive Team, HBI Board of Trustees, HBI staff at all levels
External: Community Partners, vendors, contractors and system(s) end users.
WORKING CONDITIONS:
Usual office-type working conditions; routine physical conditions include walking, carrying, standing, hearing/listening, and sitting. Up to to ~35% local and US travel anticipated.
