Job Description: Receptionist
Overview:
The Receptionist at Wesleyan Academy is the first point of contact for visitors and callers, playing a critical role in creating a welcoming and professional environment. This role requires a dynamic individual with excellent communication, multitasking abilities, and digital proficiency. The Receptionist will manage front desk operations, ensuring efficient communication across the school and providing essential support to staff, students, and parents.
Requirements:
Education & Experience:
Associate Degree in Office Systems, Business Administration, or related field.
Bachelor's Degree (preferred).
Minimum 2 years of experience in a receptionist or front-office role, preferably in a fast-paced or customer-oriented environment.
Skills:
Strong verbal and written communication skills in both Spanish and English.
Excellent telephone etiquette and digital communication skills.
Customer service-oriented, with a friendly and professional demeanor.
Ability to manage multiple tasks and prioritize effectively.
Strong organizational skills with close attention to detail.
High level of discretion and confidentiality in handling sensitive information.
Proficient in digital tools such as MS Office, Google Suite, and capable of quickly learning new software.
Basic troubleshooting of office technology (printers, scanners, copiers).
Typing speed: 50 WPM or higher.
Professional Appearance:
Adherence to professional dress code in alignment with school policies.
Well-groomed and maintains a positive professional image.
Key Responsibilities:
Front Desk Operations:
Serve as the primary point of contact for all visitors, ensuring a warm welcome and efficient handling of inquiries.
Answer and direct phone calls, following a professional and friendly greeting.
Manage digital communication channels (email, messaging apps), ensuring timely responses.
Administrative & Support Functions:
Support the Executive Administrative Assistant (EA) with tasks such as scheduling, document preparation, and maintaining records.
Assist with the distribution and management of incoming and outgoing mail, including scanning, filing, and electronic archiving.
Organize the reception area to ensure it is tidy and welcoming for guests.
Visitor & Access Management:
Follow school visitor protocols, ensuring secure and organized check-in processes.
Manage early dismissals of students and coordinate messages to teachers and staff without disrupting class activities.
Maintain logs for visitors, deliveries, and internal communication as required.
Digital & Office Equipment Management:
Ensure the functionality of office equipment (photocopier, fax machine, postage meter, phone system), reporting any issues and coordinating repairs when necessary.
Maintain inventory of office supplies and ensure the efficient use of resources.
Crisis & Security Protocols:
Act as the first point of contact during emergencies, following established procedures, and sounding alarms if necessary.
Ensure the magnetic door latch is active during working hours and manage security protocols for visitors.
Professional Development:
Stay updated on best practices for customer service, office management, and digital tools.
Engage in ongoing training related to administrative skills, software updates, and school protocols.
Meetings & Devotions:
Participate in daily devotions and mandatory employee meetings, contributing positively to the team environment.
Other Duties:
Maintain strict confidentiality regarding students, staff, and parent information.
Follow school policies and procedures, and complete any other tasks assigned by the EA.

Language Skills:
Fully bilingual in Spanish and English (preferred), with an emphasis on clear and professional communication in both languages.

Pay: $10.72 - $11.03 per hour
