Job Description Terms of Employment: 12-month Exemption Status: Non-Exempt Salary Scale: AFSCME UA, Grade 8-9 https://www.ccboe.com/careers/salary-scales EDUCATION AND WORK EXPERIENCE
•High School Diploma or GED required.
•One to three years of demonstrated secretarial experience required.
•Experience with MS Word, MS Excel, MS Access, MS Publisher, etc. required.

QUALIFICATIONS
•Ability to perform secretarial/administrative duties.
•Proficient computer skills including word processing and database required, and experience with Oracle or similar software.
•Working knowledge of office practices and procedures.
•Maintains appointment calendar and schedules appointments/meetings for staff when required.
•Consistent communication with supported specialists regarding progress of short and long-term tasks.
•Ability to exercise sound judgment, tact, and courtesy while managing difficult or emotional situations; respond promptly to parent and specialists' needs; respond to requests for service and assistance; meets commitments.
•Speaks clearly and persuasively in positive or negative situations; listens and gets clarification; responds competently to questions.
•Ability to read and interpret documents such as procedure manuals.
•Write clearly and informatively; edit and proofread work for spelling and grammar; able to read and interpret written information.
•Ability to write routine memorandums and correspondence.
•Ability to maintain administrative records and prepare routine reports from such records.
•Ability to carry out instructions in written, oral or diagram form.
•Ability to follow instructions, respond to management direction; completes tasks on time or notifies supervisor with an alternate plan.
•Demonstrate attention to detail.
•Work well in group or team problem solving situations.
•Maintain confidentiality.

ESSENTIAL JOB FUNCTIONS
•Screen incoming calls and correspondence and respond when necessary.
•Prepare memorandums and other documents as needed.
•Assist in arranging programs and events.
•Initiate, manage, and maintain financial records when necessary.
•Assist with all matters concerning the operation and functions in the Office of Teaching and Learning.
•Direct preparation of records of all meetings.
•Act as custodian of documents and records.
•Distribute mail.
•Create and maintain official records and files.
•Perform related duties as assigned.

ENVIRONMENTAL FACTORS & PHYSICAL REQUIREMENTS
The environmental factors and/or physical requirements of this position include the following: While performing the duties of this job, the employee is required to have ordinary ambulatory skills sufficient to visit other locations; and the ability to stand, walk, stoop, kneel, crouch, and manipulate (lift, carry, move) light to medium weights of 10-50 pounds. Requires good hand-eye coordination, arm, hand and finger dexterity, including ability to grasp, and visual acuity to use a keyboard. The employee frequently is required to sit, reach with hands and arms, talk and hear.
