Tenant Service Coordinators are front line representatives of the Company and are responsible for receiving, logging and dispatching tenant requests for service in an efficient, friendly, and responsible manner. The Tenant Services Coordinator must be capable of accurately conveying the tenant's needs to the Property Managers and Maintenance Personnel.
They are a true provider of service and handle emergencies, address tenant requests, and coordinate the service efforts of the Property Management Team. They are the face of the organization to the tenant and thus play a critical role in delivering tenant satisfaction.
The Tenant Services Coordinator provides a mechanism to support Property Managers and also interacts with the general accounting department. They play a vital role in helping RXR achieve its mission of improving quality of life in the workplace.
PRINCIPAL DUTIES AND RESPONSIBILITIES Receive tenant requests for services and log requests into Angus database. Dispatch tasks to maintenance personnel and contractors. File, organize, and request certificates of insurance for tenants and contractors. Follow up service calls and close out Angus requests on a daily basis. Create and send tenant memos. Generate and dispatch tenant work orders in a timely manner. Order various building supplies for the Property Management Dept. Coordinate access control system. Coordinate freight elevator reservations for Tenants. Coordinate interior/exterior window cleaning with Tenants. Coordinate Fire Extinguisher inspection for Tenants and Building. Notify security of daily construction activities at the Property. Responsible for updating the Tenant emergency contact list. Responsible for updating the Vendor emergency contact list. Responsible for typing correspondence, reports, meeting minutes, etc. Create purchase orders for vendors. Review, code, and follow-up on invoices. Review submitted staff timesheets. Contract setup and signature dispatch. Keep track of Maintenance Contractor visits. Maintaining and updating Property Management files. Assist Property Manager. Keep Property Manager informed. Assist in carrying out emergency procedures. IDEAL EXPERIENCE/EDUCATION College degree preferred. Must have Microsoft Office, Outlook, Word, Excel, and DocuSign. Experience with Angus work order system a plus. Must be able to develop a good working knowledge of the building and its amenities. Must be familiar with basic accounting procedures. $55,000 - $60,000 a year
Bonus eligible.
