Join our team as an Appointment Setter/Receptionist! In this essential role, you'll be the friendly face and voice of the organization, responsible for managing client communications and scheduling meetings for our financial planners across two locations. This position is located mainly in Forest Hill, MD and as needed travel to the Lutherville-Timonum location. This position requires a positon split in two roles; receptionist one day of the week, mostly Mondays and as an appointment setter for 4 days of the week. Responsibilities
Communicate with clients and prospects via telephone and email to schedule meetings
Schedule periodic meetings with clients based on predetermined schedule
Make meeting reminder/confirmation calls
Make prospect follow up calls to schedule meetings
Manage appointment calendar for multiple financial planners in two locations (Outlook)
Answer and direct calls to appropriate team members
Maintain industry specific client relationship software
Track client and prospect interactions, appointments and tasks in CRM (Redtail)
Assist operations department with form submission via USPS, FedEx, email and fax
Assist marketing department with initiatives, seminars, education events, etc
Greet guests
Prepare general correspondence
Prepare conference rooms for meeting
Open and distribute incoming mail
Perform general administration and support functions as required
Perform other duties and projects as assigned
