Job Summary:
The Asset Inventory Specialist must complete a dedicated and detail-oriented registry of the inventory of equipment and components purchased by the client using FEMA funding. This position will be responsible for ensuring compliance with applicable federal regulations and the client's standard operating procedures. This role will involve thorough tracking, reporting, and management of assets to support our client in maintaining transparency in asset allocation.
Duties and Responsibilities:
Develop and implement a comprehensive inventory management system for tracking equipment and components purchased with FEMA funds.
Create and maintain a detailed registry of all assets, ensuring accurate record-keeping and compliance with federal requirements.
Classifying assets into appropriate categories. For assets purchased under federal awards, this includes ensuring the correct classification is made in accordance with 2 CFR definitions and requirements and any additional conditions in the applicable award documents.
Identify, document and labeled assets as being in client's custody. Depending on the asset, labeling may be accomplished through a barcode, an alpha-numeric label, or other means, as determined appropriate.
Adequately document the useful life and an estimated remaining useful life of the assets.
Collaborate in the disposal process to ensure it is made in compliance with client's Operation & Maintenance Agreement and federal guidelines, where applicable.
Conduct regular audits and reconciliations of asset records to ensure accuracy and compliance with client's policies and procedures.
Collaborate with procurement and finance teams to align asset management practices with organizational goals and FEMA regulations.
Serve as the primary point of contact for FEMA-related asset inquiries and reporting requirements.
Calculating depreciation based on the asset's expected useful life and other relevant factors, such as wear and tear
Provide training and guidance to staff on proper asset management practices and compliance with federal regulations.
Monitor changes in federal regulations affecting asset management and communicate necessary updates to relevant stakeholders.
Prepare regular reports detailing asset status, compliance levels, and any discrepancies identified during audits.
Follow, maintain, and revise standard operating procedures for asset management in accordance with FEMA guidelines and client's standards.
Assist in the identification and implementation of improvements to asset management processes.
Skills and Abilities:
Proven work experience in asset management, inventory control, or a related area, preferably with federal funding programs.
Knowledge of FEMA funding guidelines and federal regulations related to asset management.
Proficiency in Microsoft Office and with business application software, purchasing and resource planning systems.
Strong organizational and analytical skills, with attention to detail and accuracy.
Excellent communication and interpersonal skills, capable of working effectively with diverse teams and stakeholders.
Available to visit client's facilities.
Education Requirements:
Required - Bachelor's degree
Required - 5+ years applicable work experience
Preferred - Bachelor's degree Supply Chain Management, Logistics, Business Administration, or a similar discipline
Preferred - Certified in Production and Inventory Management (CPIM)
Anticipated Schedule:
Monday to Friday (8:00am to 5:00pm) 8 hr./day, 40 hr./week. Additional time may be required during peak activity.
