GENERAL DESCRIPTION
Provides support in attending the Reception of the Human Resources department, which involves receiving visitors and directing them to the corresponding offices while keeping a record of them; receives and forwards the calls received, among other processes. Provides administrative support in archiving employee documents, as required.
ESSENTIAL FUNCTIONS
Reception
Receives and forwards all calls received at the Department's Reception.
Maintains the department's inventory of materials and prepares requisitions to purchase them.
Maintains updated logs corresponding to the documents distributed to employees.
Receives, classifies, and distributes the correspondence received in the department and via fax.
Provides support in the delivery of forms requested by employees and/or job candidates related to benefit processes, and recruitment, among others.
Supports in the preparation of the packages related to terminations of employment.
Coordinates internal and external messaging of the department.
Supports in preparing offer letters, referrals of doping, and benefit statements, among others, of the candidates for employment.
Provides support during the coordination and delivery of offer letters to selected candidates and ensure they have signed.
Provides support in the assembly of the packages of documents to be delivered to the candidates selected for the Induction Program, if required.
Provides support during the preparation and delivery of departure documents due to voluntary or involuntary termination of employment.
Follows up on former employees for settlement checks and commissions, among others not collected.
Brings assistance from the department and sends a message via email on a regular basis.
File
Supports the Filing Clerk in the process of filing the documents of regular, terminated, and temporary employees in numerical order following the established procedure, as set forth below:
Divides and organizes the medical and regular documentation received in the department to archive it in the corresponding personnel files.
Archives all the documentation that reaches the Human Resources department must be integrated into the employees' files accurately and following the established times.
Provides support in the assembly of new employee files in accordance with the procedure established by the department.
Maintains and keeps up to date the log of the files requested by the department's personnel outside the Archive Room.
Supports sending and requesting finished employee files to the inactive document storage company.
Support in special projects, as required.
Provides support to HR Department during assigned initiatives, projects, or activities.
Complies fully and consistently with the company's standards, policies, and procedures and with the local and federal laws applicable to our industry, business, and employment practices.
Education and Experience:
Two (2) years of university studies equivalent to sixty (60) approved credits or an Associate's degree in Secretarial Science or Administrative Assisting. One (1) year of experience performing administrative tasks, such as management of a Reception desk, Private Branch Exchange, customer service, organization and archiving of files, and data entry, among other clerical tasks.

Four-year high school diploma. Three (3) years of experience performing administrative tasks, such as managing a Reception desk, Private Branch Exchange, customer service, organization and archiving of files, and data entry, among other clerical tasks.
