Job Description Office Management: Greet visitors, answer phone calls, and respond to emails professionally and courteously. Maintain a welcoming, clean, and organized office environment. Manage and order office supplies and equipment. Handle incoming and outgoing mail and packages. Create spreadsheets, manage databases, and prepare presentations. Manage vendor relationships, including negotiation and coordination. Participate in budget preparation and administration. Evaluate and implement office policies and procedures. Explore and implement initiatives to enhance sustainability efforts within the office. Support to Management and Team: Provide administrative support to managers and team members as needed. Assist in preparing the office for visits from global top management. Coordinate special projects and initiatives to ensure their successful execution. Client and Vendor Relations: Interact professionally with employees, clients, vendors, and partners. Coordinate office vendors based on organizational needs. Approve vendor invoices and manage related budgets. Assist in preparing materials for client or team meetings. Handle client feedback and concerns professionally, ensuring issues are resolved satisfactorily. Escalate complex issues to the appropriate department when necessary. Collaborate with other departments to provide seamless support and information sharing. Other Duties: Perform additional tasks and assignments as needed. The Successful Applicant High school diploma or equivalent; associate's degree or relevant certification is a plus. Proven experience as an administrative assistant or in a similar role. Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook). Strong communication and interpersonal skills. Exceptional organizational and time management abilities. Keen attention to detail and a high level of accuracy. Ability to work independently and collaboratively within a team. Interest in the beauty industry and sustainability initiatives.
