Job description As our US Workplace Experience Manager (WXM), you'll play a pivotal role in Akeneo's employee experience offering by overseeing the smooth and efficient functioning of our Boston office. We recently moved to a new, state-of-the-art space with top notch facilities to match - we're looking for a passionate workplace professional to maximise its appeal and potential.
As part of Akeneo's People Experience function, the US WXM will serve as a key focal point to our US team, both in person and digitally to our remote employees. You'll report to the Head of Workplace Experience based in the UK. Your time will be spent on a mixture of office operations, communications, hospitality/team events, business support and above all, employee experience. This is a fully in-office role, 5 days a week.

Key ResponsibilitiesOffice OperationsOwn a positive, warm, hospitality driven office experience by employees and guestsAct as the primary point of contact for any office and/or building issuesContinuous optimisation and improvement of our workplace operations and workflowsMake daily workspace rounds to ensure the space is looking its best, taking ownership where applicable and/or flagging issues or opportunities to the relevant stakeholdersCoordinate and manage office resources, including supplies, equipment and furnitureCollaborate closely with our Workplace stakeholders, fostering close relations and building trusted bondsOwn and champion office safety protocols and emergency proceduresHave knowledge of, and organise annual trainings for first aid and fire marshal training in line with local best practicesAdministration & CommunicationsPlan, create and share key workplace communications and announcementsCreate and implement efficient systems to streamline administrative tasksOwn the relationship with our building managers, operate all key visitor management and other building portalsTroubleshoot queries in a timely, professional manner (email, slack)Act as a central point of contact for our remote US employeesSupport with new hire onboarding, ensuring a smooth integration processSupport and champion our wider People Experience team initiatives - events, activities, drives etcProcess and monitor all office related expenses, including invoicesAssist in organising internal meetings and events, including coordinating logistics with our internal stakeholdersHelp develop and update standard operating procedures (SOPs) and team knowledgeHandle incoming and outgoing mail, packages, and deliveries efficientlyHospitality & Team EventsPlan, host and support a diverse range of in-office events to help drive attendance, but also create a sense of community and inclusivenessHelp create a program of meaningful office events that bring people together around purposeOrganise our US 'End of Year' celebrationVendor CoordinationLiaise with internal & external vendors, suppliers, and service providers to ensure timely delivery and quality of services - inc cleaning, maintenance, security, building management and othersReview & benchmark our suppliers and services to ensure we're delivering best in class experiences for our peopleObtain and compare quotes for office-related purchases and negotiate favourable termsQualificationsYou're someone with strong operational skills with at least 3 years in office/workplace/ hospitality/facilities/flexspace/employee experienceYou're proactive and have a lot of agency; you roll up your sleeves, take ownership of tasks and get stuff doneYou'll have experience liaising with key stakeholders - people come to you because you make their lives easier and solve their problemsYou have a strong resolve - are ok saying no, challenging ideas and requesting further resources when requiredSoft skills are your superpower.
